After your CRM and calendar move to EliseCRM, a few changes are required in your previous system. Find your CRM below and complete the steps with your Implementation Specialist.
Yardi
When your PMS is Yardi and your calendar moves to EliseCRM, the calendar is transferred without changing numbers or marketing sources. However, some RentCafe settings need to be relaxed. EliseAI manages bookings, exporting all tours to Yardi, which rejects any conflicting appointments.
Step 1: In RentCafe Site Manager, make the following edits. Tour settings are under Property Settings > Appointment Settings; see also RentCafe Step 2: Confirm RentCafe Pricing and Calendar.
- Configure the Marketing API to send emails for new guests.
- Disable Use CRM Blackouts.
- Uncheck Do not allow Appointments Outside of Office Hours for guided tours.
- Under Activate Guided / Self-Guided / Live Video / 360 Tours, enable Guided Tour, or whichever tour types you intend to run.
- Enable Allow Property Level Concurrent Event.
- Set Number of Concurrent Appointments For Each Timeslot high enough that RentCafe does not block appointments managed through the API.
- Set How many appointments one user can schedule from marketing site as high as needed.
- Set Allow appointments to be scheduled from to your desired booking window.
- Set Do not allow consecutive appointments within to your intended buffer, or 0 minutes if no RentCafe-side buffer should apply.
- Set Do not allow appointments to be scheduled in the next to your intended minimum lead time, or 0 minutes if no RentCafe-side lead-time restriction should apply.
Note: Use Advanced Timeslot Scheduling must also be on. Only a Yardi admin can enable it, via a Yardi Client Central case.
Note: A restriction left in place doesn’t stop the tour. The tour is booked and confirmed in EliseAI but never reaches the Yardi guest card, causing missing tours in Yardi reports. Set your actual tour hours, buffers, and lead times in EliseAI’s Calendar & Tour Settings; RentCafe values only need to be permissive enough to allow them.
After migration, if you receive any email regarding a tour failing to export to your external CRM, please refer to our Help Center article How It Works: Tour Export Failures.
ResMan
Step 1: Move your tour hours and blackout dates into the AI Portal and keep them there.
Note: ResMan does not expose tour availability to EliseAI, so the AI Portal is the only place bookable availability lives. Booked tours are still exported to ResMan for reporting.
No numbers or marketing sources change.
Yardi CRM IQ
Step 1: Remove the second agent-handoff workflow at the IQ Customer step.
Step 2: Set "Meet Elise" as the default agent.
- Navigate to RentCafe Site Manager: Company > Select Property > Content & Settings > Settings > Guest Card Settings > Default Agent for Property Website & Default Agent for RENTCafe.com ILS
Your Implementation Specialist re-syncs once these are done and validates the result with a test prospect.
Entrata
Step 1: Disable the Contact Needed flag in Entrata. If needed, contact Entrata support to to disable it.
AppFolio
Step 1: Confirm your deposit insurance setup with your Implementation Specialist.
Note: AppFolio does not offer a calendar API, so tours are never written to an AppFolio calendar. However, you can confirm that tours are synced as “showings” in the Appfolio Guest Card. Manage all tour scheduling in the EliseAI Portal.
Funnel
Step 1: Recreate your marketing sources in your PMS. Do this before the switch as attribution cannot be backfilled.
Step 2: Confirm your historical leads have been imported from Funnel.
